Digital workflow automation that lets you get more done.

Digital transformation is the integration of digital technology into all areas of your business, resulting in fundamental changes to how your business operates and how you deliver value to customers.

The combined effect of advanced technology and reworked operational practices can radically improve performance for Australian businesses – otherwise known as digital transformation.

While digital transformation can be seen as an advanced document management solution, the reality is so much more involved. Digital transformation is a total knowledge management system that expedites communication throughout an organisation to increase productivity. Digital transformation is a continuous, and complex, undertaking that can substantially shape a company and its operations. When done right, it will result in a business that is more aligned with customer demands and resilient in the fast-moving digital future.

DTS has developed a range of products that help to build the knowledge management system throughout an organisation. We can tailor make digital solutions, so your business can utilise digital transformation to create better customer experiences and increase process efficiencies.

Workflow automation – work management through automation.

Digital workflow automation replaces manual and paper-based processes by integrating tools, automating hand-offs, and replacing other repetitive, time-consuming tasks that add little value to the business.

For example, basic tasks like routing work to other teammates or approvers could be easily performed with software that can digitally validate data or compare it to data in another document or system.

DTS Workflow automation eliminates these tasks, allowing valuable employees to focus on the work that really matters.

“Digital workflow automation gives you a strong competitive advantage in today’s marketplace.”

Designed with user experience as a top priority, DTS’ simple-to-use, drag-and-drop configurability allows users to easily automate even the most complex processes.

This outstanding usability reduces training and configuration time, making it possible to develop solutions faster and see ROI sooner. DTS Workflow combines traditional document management capabilities with digital transformation benefits to include:

  • Process automation that increases efficiency and improves control by enforcing corporate policies.
  • Analytics that drive greater visibility into process efficiency and areas for improvement.
  • Automatic import, escalations and scheduled event capability that reduce manual tasks and human error.
  • Capture of virtually any kind of document or content through multiple means, including drag-and drop from the desktop and TIFF printing, and extract data from structured forms.
  • Connecting documents and data to other enterprise systems users need to complete their work.
  • Granular metadata searches for specific documents, search across the entire document repository or view related documents with a single click.
  • Seamless, device agnostic mobile access to allow workers to access documents wherever, whenever and however they want.

In today’s digital economy, we not only access all information digitally, but we use it to guide our business decisions in real time.

Legacy systems are facing increased scrutiny as the cloud has disrupted long-standing processes and practices to enable businesses in all industries to refocus on customer experience and innovation.

DTS employs the benefit of cloud to ensure customers can enjoy the advantages of a complete document and work management solution without large scale infrastructure investment. From every aspect, DTS has been designed to enable rapid end-user adoption and results.

BYOD may be a headache for some, but not for DTS Workflow users.

Our responsive design technology lets employees use DTS document and workflow automation wherever they are, with their device of choice, without compromising usability. Whether using a smart phone, tablet or laptop, users have a seamless experience automatically optimised for the specific form factor.

Mobile access is included as a standard component of our system, so all Digital Transformation Solution customers have the freedom to work however they choose by accessing Workflow via a standard browser or by downloading a dedicated app. And, organisations don’t have to go through another procurement process to extend mobile access to their workforces.

Mobility is a key component in our commitment to revolutionising the way organisations plan, manage and execute work. Allowing users to effectively use enterprise software at their convenience can dramatically reduce delays and inefficiencies, accelerating the ROI of a Digital Transformation Solutions Workflow investment.

Electronic Forms

Today’s strategies in driving operational cost out of most business processes begins with exploring opportunities to automate and create self-service front-end data entry applications.

When you think about the ways in which commerce is transacted over the web, including making a reservation, requesting information, or an online purchase, the user is presented with a form which they enter required data and submit it. Paper documents are no longer part of this process and subsequently most of the operational costs associated with processing forms can be eliminated.

Manual paper-based forms used today in organisations are expensive, difficult to distribute, and drive up operational costs to manage and file them. Integrated content management solutions like Digital Transformation Solutions Web Forms and E-Forms provide a framework for the automation of these processes.

So many organisations have stepped into the online forms world but have failed to take advantage of the valuable data they have captured; mainly due to lack of integration or an inability to use this data in their current systems.

The DTS Electronic Forms System allows you to create and store a library of on-demand forms to automate the creation, distribution, and filing of transactional forms. These forms can be configured as Microsoft Word, HTML, or Excel documents and made available within the system or posted on outward facing websites or portals.

DocuSign integration further enhances the opportunity you have to create and improve the use of forms. The partnership with DocuSign creates more efficient processes by extending the integration with eSignatures technology meeting the demands of Digital Transformation.

Completed forms are posted directly into the DTS Workflow system for secure storage and retrieval when needed. Forms posted into our system automatically initiate a workflow process to route those forms to users based on configured business rules including SLAs and KPIs your staff may be working to. The data entered on the forms can be extracted to feed other systems or databases, and can be used to create custom reports and a valuable source of data for your business intelligence platforms.

The DTS Enterprise Document Management Solution E-Forms module extends the functionality of the system and when coupled with the automated workflow can be used to create highly efficient Business Process Automation solutions.

Typical E-Forms applications include:

  • Human Resource Applications
  • Information Request Forms
  • Purchase Requisitions
  • Online Order Forms
  • Service Request Forms
  • Online Credit Applications

Let our imaging specialists take all the hard work out of your digitisation requirements.

Document imaging is the practice of converting paper and microforms to digital images. Once converted, information captured electronically provides the user the ability to retrieve documents in seconds.

There are many benefits of imaging, from increased productivity and service by reducing the time looking for files or documents, right through to reduced costs associated with hard copy storage, distribution, printing and delivery.

DTS can design and tailor an imaging solution using leading edge equipment and state-of-the-art technology. We can scan to all industry standards, from 100dpi to 600dpi, in black and white, greyscale, or high quality colour through our high throughput, dual stream scanners. We also provide high quality large format imaging up to A0 size records.

DTS provides online storage solutions for your digital records within our Complete Information Management System (CIMS). Customers can simply search CIMS to retrieve the imaged file, removing the need for expensive internal IT systems and management. Security advantages include protected access, encrypted content and audit trails, and we track all user access and usage.

DTS utilise the latest recognition technologies to capture data and index images, including:

  • Optical Mark Recognition (OMR) – registration of mark sense objects, for example: radio buttons, tick boxes, etc.
  • Optical Character Recognition (OCR)
  • Barcode Recognition – recognition of many types of barcodes
  • Key from Image (KFI) – data verification and data validation
